Applicant (herein described) hereby applies for exhibit space at the 2009 Gathering Of The Guard, for the use of said space under the following terms and conditions. The GOTG vendor committee will assign exhibit space in accordance with an exhibitors stated preference, depending upon its availability. Exhibit fees include spaces with electric or without electric. Upon payment all applicants will receive a confirmation. You will be contacted upon approval with your assigned location. Vendor must read all rules and regulations.

Booth spaces are 10' x 10'. We have booth space available in the Exhibition Hall and outside. All Exhibition Hall space include electrical access and pipe and drape. Some outside spaces have electrical access. Please enter your booth space requirements below.

Rules & Regulations

SPACE: Once you have submitted your online registration, you will get a confirmation page that includes a payment button.  No booth space will be assigned until full payment is received.  Management will work with you as much as possible to honor your space requests. The space contracted for is to be used solely by the exhibitor whose name appears on the contract and it is agreed the exhibitor will not sublet or assign any portion of the same without the written consent of the event organizer's.   If for any reason your application is denied, we will contact you to either find an acceptable resolution or offer a  full refund.

SETUP TEARDOWN: Each confirmed exhibitor will receive a confirmation of setup times. The Patriot Guard Riders (PGR) reserves the right to reassign your reserved exhibit space if you do not set up within designated setup times. Teardown times are posted on the confirmation. Exhibitor agrees to keep its exhibit open during event hours. 

BOOTHS: Raw wood, cardboard or similar material for wings to booths must be covered or painted if they are visible from adjacent booths. All display materials used for decoration must be flameproof. In the event that any exhibit of the exhibitor would interfere with fire ordinance, the exhibit of other exhibitors, or show management regulations, show management reserves the right to relocate the space. 

USE OF AISLES: The aisles and passageways remain strictly under the control of management and no signs, decorations, banners, advertising matter or similar devices will be permitted without written special permission of management. However, this does not qualify or limit the free responsibility of the exhibitors to save the PGR, its officers or agents and/or the venue harmless and free from all damage or other liability, as set out in a prior section of this instrument. All exhibits must remain within the confines of the exhibitors space and no exhibitor will be permitted to erect signs or display products in such a manner as to obstruct the view, occasion injury or disadvantageously affect the display of other exhibitors. 

BOOTH MANNING: Show Management expects booths to be manned at all times during the show. The exhibitor must have an attendant in charge of this exhibit each day during the hours of the show. 

LIABILITY AND INSURANCE: The exhibitor agrees to hold the PGR, its officers or agents and/or the venue harmless and free from all damages or other liability occasioned within the wrongdoing of the exhibitor, employees or any officers, agents, or representatives, and said exhibitor will at own cost and expense defend and protect the PGR and/or the venue against any and all such claims and demands. PGR assumes no responsibility whatsoever for any property placed in the venue and it is hereby understood and agreed that PGR is hereby expressly released and discharged from any and all liabilities from any loss, injury, or damage to persons or property that may be sustained while on the premises or while in transit to the premises. The management, while taking all precaution against loss, will not guarantee against it. Exhibitors wishing to insure their goods must do so at their own expense. Certificates of Workmens Compensation and Public Liability should be filed with management at the same time contract for space has been signed and returned. 

ALCOHOL POLICY: Sale of alcoholic beverages is prohibited.  Although beer will be sold on the premises, vendors (all employees) are expected to maintain professional conduct.  Disorderly or intoxicated persons will not be tolerated. Furnishing of alcoholic beverages to minors under age 21is prohibited by law. No glass bottles are allowed. 

RESTRICTIONS: Management reserves the right to restrict exhibits that may have been falsely entered, or may be deemed unsuitable. This reservation applies to noise, persons, things, conduct, printed matter or anything that might be objectionable to the show as a whole; it also applies to exhibits or advertising in all areas of the venue. Illegal drugs, drug paraphernalia, weapons, merchandise containing racial slurs, fireworks, adult items, manufacturer or copyright infringements, obscenities or other offensive or other detrimental matter will not be permitted and will be confiscated and not returned. Merchandise designed to be replicating event merchandise or which has this effect will not be permitted and will result in confiscation of said merchandise with no recourse. Vendors are not allowed to sell, give, or offer for sale any pictures or accounting of this event for publication without the permission of PGR. The management must approve all signs. 

RIGHTS OF SHOW MANAGEMENT IN EVENT SHOW IS CANCELLED: In the event the show is not held or is prematurely closed as a result of any emergency arising previous to the scheduled date of the show or during the show, it is expressly understood and agreed that management may retain the exhibitors entire rental fee. Refunds will be made solely at the discretion of Show Management.
